Express Employment Professionals Cincinnati East is hiring a Service Coordinator to join the administrative team of a Clermont County service provider based out of Batavia, OH.

Core Functions:

Scheduling: Provide effective work schedules for field personnel to maximize use of skills while cost effectively meeting preventative maintenance contract obligations, customer needs and providing contingency time for emergency calls. o Must call customer 1-2 weeks in advance to let them know maintenance is scheduled that month. Ask customer if they have any other issues we need to look at before we start our inspections. Service Personnel Dispatching: Dispatch service personnel to satisfy customer problems based on skills, nature of problems, location of problem and location of personnel. Effectively match technician skill level with problem while maintaining cost effectiveness. Respond to Trouble Calls: Determine and dispatch appropriate service representative to ensure quick and efficient resolution of problems while building and maintaining customer confidence and satisfaction. Keep the customer informed on action taken. Problem Investigation: Maintain awareness of field activities and mechanical systems to ask appropriate questions and gather sufficient information for the timely and cost-effective dispatching of appropriate personnel, tools, and equipment Logistics: Possess sufficient knowledge about geographical layout to make logical decision concerning reassignment for spot calls, assignment of scheduled work, purchasing, and transfer of tools, materials, and equipment. Monitor vehicle logs and keep records. Field Productivity: Provide logistical support to the field to assure maximum output per labor-hour. Qualify every request for service to establish response time requirements. Communicate schedule to customer. Equipment Coordination - Maintain awareness of availability of equipment and how utilized. Locate, purchase, and coordinate use of equipment to best meet needs of field personnel. Service Manager Support: Status Reporting - Inform service manager of work progress, customer relations, field personnel relations, material administration and other matters affecting service operations. Customer Relations - Advise service manager of customer complaints to expedite resolution ensuring and maintaining long term relationships. Communicate resolution to customer. **Contract Administration Support: **Dispatch personnel and equipment in accordance with applicable contractual agreements. Display complete understating of components of the standard contractual agreements including services provided and terms and conditions. Renewals – Run contract renewal report, print out APR, and provide this information to the service manager 60 days before anniversary date. Must update equipment list/filter list on all agreements if we add or change equipment. File all accounts receivables paperwork. **Sales Support: ** Recognize the relationship between good performance, customer satisfaction, and sales opportunities. Understand sales objectives. Promote upgrading existing business and the sales of new business by continuously reporting sales leads. Internal Relations: Build and maintain rapport and positive working relationships with field and office personnel to resolve problems, employ opportunities, and maximize profits. External Relations: Build rapport and productive working relationships with customers, vendors, and other outside contacts. Reporting: Audit service reports weekly in accordance with established procedures. Match up P.O.’s with packing slips—checking and reviewing worksheets. Credit Status: Maintain awareness of high credit risk customers and obtain approval from your service manager prior to authorizing service Labor Agreements: Understand applicable union field labor agreements to ensure that all assignments made to service representatives fall within scope and obligation of agreements. Special Projects: Provide support for any special projects as assigned by your service manager. These special projects, at the determination of your service manager, may or may not become part of this position’s primary responsibilities

Skills, Knowledges and Proficiencies:

Ability to work under pressure Work independently and efficiently in a fast-paced position Basic computer skills (Microsoft Office proficiency, especially Excel) Ability to multitask Excellent writing, reading comprehension, communication, and organizational skills Good people skills Good problem-solving skills Good customer service skills Previous experience in the HVAC service industry or other service industries is preferred

Shift & Pay:

Shift: 1st Shift, Mon-Fri, 7:00AM-4:00PM Salary: $50-$55k salaried, based on experience
