Business Office Manager | Batavia, OH

1st Shift | $26+/hour

Express Employment Professionals Cincinnati East is now hiring to fulfill a Business Office Manager opening in Batavia, OH. This is a unique role requiring working fluency with both the English AND Japanese languages, as our client partner is a local arm of a Japanese-based company. The ideal candidate will have a matured skillset relating to core administrative support, project management, client and team communication and collaboration, and employee onboarding and records management.

Core Duties:

General & Daily Functions:

  • Usage of fluency in both English and Japanese languages, in written, verbal, and virtual interactions.
  • Client, vendor, and visitor interfacing, processing, and follow-ups
  • Daily office operations: cleaning, trash removal, office supply inventory, maintaining office cleanliness and tidiness.

Internal Office Management:

  • Routine compliance activity and ensuring checklist items are complete, i.e. liability insurance, audits, and documentation.
  • Company Meetings (insurance, 401K)
  • Company Vehicles (maintenances)

International/Japanese Employee Processing This site will frequently welcome contract employees from the Japan headquarter facility/facilites to complete projects of varying scopes and lengths onsite at the Batavia, OH facility. The Business Office is responsible for managing compliance and needs for these employees and their teams:

  • Visa, SS Number, banking, Income Tax issues
  • Fringe Benefits -Apartment, Vehicle – tracking mileages, Travels
  • Managing Japanese EE’s health (doctors’ appointments and others)

Human Resources:

  • New hire onboarding steps (i.e., insurance, 401K, W-4's, banking information)
  • Benefits administration (401K, health insurance programs, HRA Accounts)
  • Safety shoes – keeping track of annual anniversary dates (for purchase)
  • Supporting payroll/401K administration
  • Annually – W2 generation and distribution
  • Quartery – Download Payroll tax filing
  • Weekly – o Monday - Weekly & monthly time keeping, o Tuesday – Payroll Run o Wednesday – downloading Payroll Reports o Thursday – 401K deposits o Friday – PTO checking

Finance Support:

  • Perform Daily Maintenance of transactions withing the position’s GL area of responsibility
  • Perform weekly, monthly, quarterly, and annual close tasks, including journal entries and bank transaction processing. Making the wire transfer payments (Japan, MX)
  • Ensure accurate recording of transactions
  • Prepare cash account reconciliations and assist with AP, AR, sales, and inter-company reconciliations
  • Prepare Reports (BS and PL) in Japanese format
  • Prepare MX Reports in Japanese and English (with SJ and PJ)
  • Personnel Support and answering questions related to transactions as requested
  • Meeting with CPA – 4 times a year for reconciling the reports
  • Tax Reporting with CPA: Form 1120, Form 1099, Form 1042
  • Keeping track of Company Credit Cards activities and entries

Skills & Requirements:

Technical Skills:

  • Working, active fluency in and command of both English and Japanese languages.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), email, and office hardware.
  • Basic knowledge of accounting principles and systems such as Sage and/or QuickBooks. Soft Skills:
  • Strong organizational skills

  • Strong multi-tasking ability Education & Additional Experience:
  • High school diploma
  • Ability to complete on-the-job training common for specific software.
