Job Title: Front Desk Receptionist

Location: Troy & Piqua, Ohio
Job Type: Full-Time
Hours: Monday – Friday, 8:00 AM – 5:00 PM
Pay Rate: $18.00 / hour

We are seeking a professional and organized Front Desk Receptionist to serve as the first point of contact for students, faculty, and external partners at our Troy and Piqua campuses. This role provides front-line student support, administrative assistance, and program coordination for campus programs, admissions, purchasing, and accreditation processes.

The ideal candidate will have strong customer service, communication, and organizational skills and enjoy working in a collaborative higher education environment.

Key Responsibilities

Front Desk & Student Support

  • Serve as the primary contact for students, faculty, and external partners.
  • Provide information about program requirements, admissions procedures, financial aid, and advising referrals.
  • Deliver administrative and customer service support to faculty and students and assist in resolving issues in collaboration with faculty and the Dean.

Administrative & Program Support

  • Coordinate program committee meetings, including scheduling, preparing agendas, recording minutes, and distributing documentation.
  • Maintain curriculum forms, academic program proposals, and documentation with faculty and the Dean.
  • Assist with term scheduling, student registration, program orientations, and student record management.
  • Support student admissions processes, including applicant tracking, document collection, and communication regarding admissions decisions.
  • Maintain secure student records required for program accreditation.
  • Assist with documentation and reports for accreditation reviews.
  • Coordinate student, graduate, and employer surveys.
  • Maintain training records for students, faculty, and staff as required for programs.

Equipment & Purchasing

  • Purchase equipment, services, and supplies as requested by faculty and approved by the Dean.
  • Use campus systems such as Colleague, Blackboard, and other internal platforms to complete administrative processes.

Technology & External Partnerships

  • Act as a liaison with IT Client Services to ensure instructors have the technology support needed for instruction.
  • Prepare clinical agency agreements using approved templates and maintain program partnership documentation.

Campus & Team Support

  • Perform duties at both Troy and Piqua campuses based on schedules developed with faculty and the Dean.
  • Provide backup support for reception and other administrative roles at the Piqua campus as needed.
  • Complete other duties or projects assigned by the Dean.

Qualifications

  • Minimum 5 years of office or administrative experience, or at least 1 year of experience with an Associate’s Degree
  • Previous experience in reception, administrative support, or student services preferred
  • Strong customer service, communication, and organizational skills
  • Ability to manage multiple tasks, documentation, and student records
  • Proficiency with Microsoft Office (Word, Excel, Outlook)
  • Experience with student information systems or learning management systems (Colleague, Blackboard, etc.) is a plus
  • Ability to maintain confidential records and documentation

Preferred Experience

  • Experience working in higher education, healthcare education, or academic administration
  • Familiarity with student admissions, registration processes, or accreditation documentation
  • Experience supporting faculty, academic departments, or student services
